The 6 steps of the Copy Transcription Method:

The first step is to fully view all the spoken content that is delivered to us without yet putting your fingers on the keyboard. The purpose of this step is to:

  1. Understanding the content;
  2. Immerse yourself in the subject for which transcriptions will have to be made;
  3. Identify yourself as much as possible in the shoes of the author / speaker;
  4. Get an overall idea of what the final result will be.



Second step: transcribe the text by transforming the speech into written language.

This is the most delicate and fatal moment of the entire work process, the reason being that it is precisely at this stage that the transcriber must be able to translate the speaker's verbal language into syntactically correct sentences, while maintaining its style.

In short, this is the phase that requires the highest level of identification with the author. Here the question continually arises: “C.How would I write this sentence if I were in the speaker? What words and what tone would I use?".



In this third phase, the reviser, that is the one who will pick up the text in the near future, listens to and studies the entire material from which the transcription was made. The focus here is in:
  1. Understand the content and get into the author's theme;
  2. Immerse yourself in the matter;
  3. Start writing any glossary;
  4. Understand the cut and nuances that the speakers wanted to use in the audio / video material;
  5. Get an overall idea of what the final result will be.


Here a person external to the transcriber who worked on the transcription: the "proofreader technician" revises the text that has just been produced.

This phase aims to:

  1. Put yourself in the reader's shoes and verify that the text is actually usable and understandable;
  2. Verify if the text is also understandable by an external person who is "unfamiliar" on the subject;
  3. Correct any grammar errors;
  4. Check for and correct any syntax errors.



Fifth stage: the document is handed over to the graphic designer who:

  1. It will layout the written document transforming it into the final document ready to be printed or directly used on the basis of the client's needs (Ex. item or Professional Manual);
  2. Insert any explanatory schemes with the aim of reinforcing and clarifying certain concepts more clearly;
  3. Embellishment, modification and creation of summary tables;
  4. Formatting of chapter titles, subtitles and paragraphs with graphics in keeping with the topics covered by the manual (a manual who talks about mechanics will not have the same graphics as someone who talks about fashion and women's clothes);
  5. Insertion of summaries, covers and title pages.



Here, the project coordinator (that is, whoever will definitively deliver the final file to whoever commissioned the work) will give a final reading to the document as well as verifying that all the macro-parameters are set correctly.

In this phase, the one who initially carefully examined the content to try his hand at the topic and identify himself in the shoes of the speaker will reread the text for the last time.

Now the text is practically finished, error-free and graphically defined. It's ready.

Nevertheless, a further final verification phase aims to:

  1. Reread and test the overall usability of the manual, both in syntactic textual terms and in graphic terms;
  2. Correct any mistakes or oversights.
